Disclosure Statement with regards to Candidates Personal Information

This statement describes how Groupe Stelpro (“we”, “us”, “Groupe Stelpro”) collects, processes, uses and discloses personal information about individuals who are engaged in a recruitment process with Groupe Stelpro. The use of the second person (“you”, “your”, “yours”) designates such an individual.

The Groupe Stelpro comprises the following business units; Stelpro Design Inc., Les industries de Métal B. F. (Canada) ltée, Flextherm Inc., Synapse électronique Inc. and Sevco Canada Inc..

In this statement, personal information means information about an identifiable individual.

1.  Personal information collected for recruitment purposes

1.1.  Your transmitted information
We collect the information you provide to us for recruitment purposes, which may include the following:

  • Full name;
  • Contact information (physical address, e-mail, telephone number);
  • Content of curriculum vitae and cover letter;
  • Answers to questions asked as part of the interview process;
  • Reference authorization form.

1.2.  Renseignements recueillis via d’autres sources We may collect information from other publicly available sources or non-publicly available information with your consent. This information may include the following:

Publicly available information (obtained without your specific consent):

  • Information contained on your LinkedIn profile;
  • Information publicly available on your social network profiles;
  • Information included in web pages available to the public;
  • Information provided to the public by a professional association;
  • Search results from public databases (e.g. official documents).

Information not publicly available (collected with your specific consent if the position requires it):

  • Information gathered from references you have indicated;
  • Information obtained from credit bureaus;
  • Information obtained from an employment agency or recruiter;
  • Results of psychometric or aptitude tests.

2.  Use of your personal information

We use the personal information collected to evaluate applications and build a bank of candidates in order to meet Groupe Stelpro’s labour needs.

If you become an employee of Groupe Stelpro, certain information collected as part of the recruitment process will be kept in your employee file and used in accordance with our policies regarding the use of employees’ personal information.

3.  Retention of personal information

We retain personal information collected in our candidate database for a period of 7 years following collection.

Personal information collected is stored electronically by our service providers, primarily at facilities located in the province of Quebec, Canada.

4.  Security measures relating to your personal information

Your personal information is stored on servers operated by our service providers and is protected by security measures proportionate to the sensitivity of the information against unauthorized intrusion.

Our employees and suppliers are informed of the confidential nature of personal information and are made aware of the appropriate security measures to prevent unauthorized access to personal information.

5.  Sharing your personal information

We will only share your personal information as described in this statement and where we have obtained your consent.Your personal information may be disclosed to the categories of persons described below for the purposes identified therein.

5.1.  Employés
The personal information collected is accessible only to those employees involved in the recruitment process. It is not accessible to other Groupe Stelpro employees.

5.2.  Fournisseurs de services
We share certain personal information with our service providers so that we can process it more efficiently.  These suppliers undertake to keep this information confidential and to use it only for the purposes set out in this declaration.

Suppliers in the following categories may have access to personal information as part of the recruitment process:

  • Data storage providers;
  • Applicant Tracking Platform (ATS);
  • Recruitment agencies;
  • Credit assessment providers;
  • Suppliers of aptitude or psychometric tests.

5.3.  Obligations juridiques
We may also disclose collected personal information to third parties if expressly authorized or required to do so by law, or if we are compelled to do so by a competent authority. We may disclose personal information in connection with legal proceedings if necessary to protect our rights.

5.4.  Transaction commerciale
In the event that a business transaction involving our company is planned, we may transmit personal information collected to the persons or organizations involved before and after the transaction, whether or not it is completed. In such a case, these persons or organizations undertake to maintain the confidentiality of the personal information collected and to use it exclusively for the purpose of evaluating the feasibility or advisability of the transaction and in accordance with this declaration..

6.  Right of access, rectification and other rights

If you wish to access the personal information we have on file relating to you, or if you wish us to amend any of the personal information we have on file relating to you that is incorrect, please send a written request to the following address: privacy@stelpro.com.

Upon written request, we will provide you with additional information about the processing of your personal information as required by applicable law, including the categories of persons having access to your information and the length of time your information will be retained, to the extent that such information is not already set forth in this statement.

We will respond to your request within 30 days of receipt.

6.2.  Retrait du consentement
You may withdraw your consent to the processing of your personal information by writing to us at privacy@stelpro.com.

6.3.  Suppression
Under certain circumstances, you may request the deletion of the personal information we hold about you once its collection and the purposes for which it was collected have been fulfilled. To make such a request, please write to us at privacy@stelpro.com. We will respond to your request within 30 days of receipt.

6.4.  Juridiction
Our company is governed by the laws and regulations applicable in Quebec and Canada and is subject to the jurisdiction of the Quebec and Canadian privacy protection authorities. Any complaint or claim based on this statement or our treatment of your personal information should be addressed to the Quebec or Canadian authorities.

6.5.  Vérifications
We may verify the identity of persons seeking access to their personal information. Any information collected for this purpose will not be used for any other purpose.

7.  Updating this Declaration
This statement may be modified at any time at the sole discretion of Groupe Stelpro without prior notice. Any such modification shall be effective upon posting of the modified version on this web page. The “effective date” at the top of this statement indicates the date on which it was last updated.
